This policy explains how Bimmer Retro UK (“we”, “us”) collects, uses and protects personal information when you buy from us on eBay or through our website, use our coding, retrofit or repair services, contact us, or visit this website. It also explains how our own business software, the Bimmer Retro Workstation, handles information it receives from eBay and other services we use.

2. Information we collect
When you buy from us on eBay
eBay shares with us the information we need to complete your order:
your name, eBay username and delivery address
your phone number, if you provided one to eBay for delivery
what you bought, the price, and the order and payment status
messages you send us, and any return, cancellation or dispute details
We never receive your card or bank details. Payments for eBay orders are handled entirely by eBay.
When you use our coding, retrofit or repair services
your name, contact details and address or location for mobile visits
vehicle details such as make, model, registration and VIN, needed to identify the correct parts, coding or repair
details of the work carried out and payment records
When you ask us to check a part fits
If you send us vehicle details such as registration or VIN, we use them only to check that a part fits your vehicle.
When you message us on Facebook or Instagram
We receive your name as shown on Facebook or Instagram, your messages and any photos you send (for example of a part or your VIN plate). We use them only to answer you and, if you order, to complete your order.
When you contact us
We keep emails and messages you send us, along with our replies, so we can help you and keep a record of what was agreed.
When you visit this website
Our web host may record basic technical information, such as your IP address, browser type and the pages you visit, for security and to keep the site working. This website uses Google Site Kit, which may set Google Analytics cookies to show us how visitors use the site. You can block or delete cookies in your browser settings.
3. How we use your information

We do not sell your personal information. We do not use it for marketing unless you have asked us to keep in touch, and you can ask us to stop at any time.
4. Our business software and connected accounts
We run our business using our own software, the Bimmer Retro Workstation. With our permission it connects to our own accounts with the following services, using each service’s official, secure sign-in (OAuth or API keys):
Facebook and Instagram (Meta): to read and reply to messages sent to our Facebook Page and Instagram account, and to post to our Page
eBay: to create and manage our listings, receive orders, update stock, send tracking information and reply to buyer messages
Royal Mail Click & Drop: to create postage labels and obtain tracking numbers for your delivery
The Workstation only accesses information belonging to our own accounts. It is not offered to, or used by, any other seller.
How the Workstation protects your information
Your order details are stored on our own password-protected computer, which uses full-disk encryption.
Access keys for eBay and other services are kept in the Windows Credential Manager. They are never stored in the program’s database or in backups.
A daily backup of the database is saved to our own Microsoft OneDrive account.
We never ask for, see or store your eBay password.
5. Who we share information with
We only share what is necessary:
Royal Mail (or another courier we use): your name, delivery address and, where needed, phone number, so they can deliver your parcel
eBay: order updates, tracking numbers and messages, as part of the eBay transaction
Microsoft: email hosting and our OneDrive backups
Meta (Facebook and Instagram): messages you send to our Facebook Page or Instagram account, and our replies, are handled by Meta
Our accountant and HMRC: sales and accounting records, as required by law
Some of these providers may process data outside the UK. Where they do, they use safeguards recognised under UK data protection law.
6. How long we keep information

7. Your rights
Under UK data protection law you have the right to:

ask us to delete your information, where we don’t need to keep it for legal reasons
object to, or ask us to restrict, how we use your information
ask for your information in a portable format
To make a request, contact us using the details in section 1. We will reply within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
8. eBay account access
The connection between our Workstation and eBay applies only to our own seller accounts. As an eBay buyer, you do not need to grant us any access. eBay’s own handling of your information is covered by the eBay User Privacy Notice.

We may update this policy from time to time. The date at the top shows when it was last changed.
